They are, however, covered under the NSU policy A.11, the NSU Web Privacy Policy, and the CDM Distance Education Policy. NSU and CDM Distance and Traditional Education Systems and Processes for Securing Student/Resident Identity and Privacy The following systems and processes will be used to secure that the student who registers for a course is the student attending, submitting the required coursework, and receiving academic credit for the course: • The student-management information system, Self-Service Banner (SSB), © 2020 Ellucian Company L.P. and its affiliates. M.D.S. students will use SSB to register online for classes, view grades and transcripts, and pay tuition and fees. For students to access SSB, they must enter an input user ID (N-number) and PIN that is unique for each student. The PIN contains eight alphanumeric characters. • The oversight of the student registration, course attendance, awarding course credits, and auditing student records for degree conferral is under the oversight of the CDM Office for Admissions, Student Affairs, and Services (OASAS) in conjunction with the NSU Office of the University Registrar. OASAS employs Banner reports to secure that students are officially registering, and provides support to students who encounter problems with the online registration process. • A requirement for all university-student transactions, such as course enrollment and access, is the use of the NSU ID card, the SharkCard. An NSU SharkCard is issued when a student first enrolls at NSU. The SharkCard is the official identification card and is valid if—and as long as—the student is enrolled at the university. A photo ID (e.g., license, state ID, passport) must be shown before an NSU SharkCard is issued. The name printed on the NSU SharkCard is the individual’s official name as recorded in the NSU database. The NSU SharkCard card must always be carried and presented and/or surrendered to university officials upon request. All M.D.S. students must wear their NSU SharkCards, which are scanned in many of the predoctoral courses to record students’ daily attendance. • The roster reconciliation process is initiated by the NSU Office of the University Registrar. During the first two weeks of each semester, course directors are required to verify that each student who registered for a course is in attendance. • Course directors must record daily attendance in all daily academic activities to demonstrate that students have participated in a face-to-face class activity or were otherwise engaged in an academically related online activity. • Among the distance-learning tools that the university and the CDM employ are several web-based systems, including Canvas, a learning-management platform; Examsoft/ Examplify, an online examination administration platform; AxiUm a HIPAA-compliant and ONC-ATCB certified system that includes electronic health records (EHR); billing and practice-management applications; Zoom, a cloud-based videoconferencing system; videoconferencing; and online/media features. • The NSU official videoconferencing application, Zoom, has been interfaced in Canvas. To enter the Canvas course website, students must log on using their NSU-assigned username and password. Moreover, to join any Zoom meeting hosted by a course director, students will have to preregister
