NSU Voicemail

Guide to Using NSU VoiceMail

NSU VoiceMail is the service that answers your phone when you are unable to. The system can be customized in different ways to help manage calls and messages.

Getting Started

Once you are connected to NSU VoiceMail, if at any time you feel lost or overwhelmed, you can press [ * ] [ H ] for help.

Logging In

To connect to NSU VoiceMail, from your desk phone, call ext. 25770 (or from an outside line call (954) 262-5770) then listen to the prompts.

  • If you are out of town you can use: (toll free) 1-800-801-3344.

First-Time User Setup

When you log into NSU VoiceMail for the first time you will be asked to set two options.

  1. Change your password.
    • Your password is what keeps unwanted people from accessing your voice messages and changing your settings.
  2. Record your name.
    • This recording is your name. This is what people will hear when you leave them a voice message or when someone is accessing the 'dial by name' directory.

Note: When you log into NSU Voicemail for the first time, your initial password will be set to its default value, ask your supervisor for this value.

The Activity Menu (NSU VoiceMail's Main Menu)

Once you have set your password and recorded your name you will have completed the bare minimum necessary to start using your voicemail box. You will have access to the Activity Menu. From here you can do the following:

  • Press [ 1 ] to record a voice message.
  • Press [ 2 ] to retrieve your voice message.
  • Press [ 3 ] to manage your greetings.
  • Press [ 5 ] to modify your personal options.

Note: Although it is optional, it is recommended to record your personal greeting. The personal greeting will be played when someone reaches your voicemail box. Press [ 3 ] to administer your greetings.

Retrieving Messages

Once someone has left a voice message for you, the only way to make the light on your phone go out is to listen to it. To do this, you need to first log into NSU VoiceMail. Once you have done so, press [ 2 ]. From this point you can do the following with the messages in your voice mail box.

  • Press [ 0 ] to listen to it.
  • Press [ 1 ] to respond to / forward it.
  • Press [ * ][ D ] to delete it.
    • Press [ * ][ * ][ 8 ] to undelete the last message you marked as deleted.

Note: You can only undelete the last message you marked as deleted. If you delete another message or hang up the phone, all deleted message will be removed from the system.

Messages that are in your voice mail box can be broken down into two categories; new messages and saved messages. New messages are voice messages that you have not listened to yet, they will stay in your mailbox for up to 20 days. Saved messages are voice messages that you have listened to but not deleted, they will stay in your mailbox for up to 40 days. After each category’s retention period is expired, the system will mark the message for deletion and remove it.

Note: Once a message is deleted it cannot be recovered.

Setting Features

Changing Your Password

Your password is what keeps your NSU VoiceMail mailbox secure from unwanted visitors. It protects your messages as well as your settings and configuration. If you want to change your password, do the following from the Activity Menu:

  1. Press [ 5 ] to reach the personal options menu.
  2. Press [ 4 ] to reach the change password menu.
  3. Follow the prompts.

Note: If you forget your password or when attempting to log into NSU VoiceMail; you get a message asking you to contact your administrator because your mailbox is locked. You will you will need to call your department telecom contact who will notify ITT to have your password reset. To find your Department contact, visit the Department/School Contacts page.

Personal Operator (formally covering extension)

When a caller absolutely needs to reach a person after they have landed inside of your voice mailbox, there are 2 ways to achieve this.

  1. The caller can either hit [ * ][ T ] then dial the extension they wish to reach.
  2. Caller can press [ 0 ] and be transferred to "Your Personal Operator".

The Personal Operator setting is a predefined person whom you wish to answer your calls when users need to speak to a live person instead of leaving a message. To set your personal operator, do the following:

  • From the Activity Menu, press [ 5 ] for the Personal Options menu; press [ 6 ] for Personal Operator settings; then follow the prompts.

Managing Optional Greetings

Beyond the main Personal Greeting that you can record, there are nine optional greetings that can be recorded for different events and scenarios. Optional greetings are recorded in the same manor that your personal greeting is, except that optional greetings can have rules assigned to them for when they can be played.

To administer your optional greetings, from the Activity Menu, press [ 3 ] for the Personal Greetings menu; then press the corresponding action option:

  • Press [ 0 ] to listen to a greeting
  • Press [ 1 ] to record a greeting
  • Press [ 3 ] to delete a greeting
  • Press [ 5 ] to activate a greeting

After you select your action, press [ 3 ] and follow the prompts.

Once your greeting is created and activated, you will be notified that there is no rule activated for this greeting. To change the rule, press the following:

  • Press [ 0 ] to Activate for All Calls
  • Press [ 1 ] to Activate for: (Rotate through the options)

    • internal calls
    • external calls
    • all calls
  • Press [ 2 ] to Activate: (Rotate through the options)

    • During business hours
    • Out of business hours
    • Any time
  • Press [ 3 ] to Activate: (Rotate through the options)

    • for busy calls
    • for no answer calls
    • for both types of calls
  • Press [ 0 ] to remove all rules from the greeting and deactivate it.

You can set any combination of these rules for an options greeting. For example, you can record an optional greeting that you want only to play for internal calls that are outside of normal business hours that you did not answer.

Note: Business hours are set globally by the system as 7:30 am to 6pm.

Extended Absence Greeting

If you are going to be away from your office for a period of time, but you don’t want to remove all of your greeting rules on your optional greetings. You should then activate the extended absence greeting. The extended absence greeting, when activated, will override all of your greeting rules and will be played in place for any other greeting that is recorded on your mailbox. When it is active, you will also receive a notification when you log into NSU VoiceMail.

To administer your Extended Absence Greeting, from the main Activity menu press [ 3 ] to access the Personal Greetings menu; then press [ 2 ] and follow the prompts.

Advanced VoiceMail Features

Web Interface

The web interface can be accessed by Internet Explorer at http://voicemail.nova.edu.  From this site you will be able to create new, listen to, and interact with voicemails. You will also have the ability to customize any feature in your account from a point and click interface.

Note: You must be on a NSU campus/SEC or use VPN to access the web interface.

Call Me

The 'Call Me' feature, once activated and configured, will instruct the NSU VoiceMail system to deliver a voicemail to you by calling you. 

Notify Me

The 'Notify Me' feature is designed to alert you via email that you have received a voicemail.

Find Me

The 'Find Me' feature, when activated, attempts to connect the caller to the user.

Activation and Training

If you feel that you require the use of any of these features, you will need to contact your department's Telecommunication Contact.
